Job Outline This is a new post arising out of the growth and restructure of the Faculty Office of Humanities and Social Sciences. The officer of Teaching and Learning are responsible to manage a team of faculty administrators and provide high quality service to both academic staff and students in teaching and learning area. This role also needs to maintain a solid relationship with Faculty Director of Teaching and School/ Department Head in policy and regulation improvement and implement within Faculty. In addition, the Officer of Teaching and Learning will work closely with other two teams within Faculty to present and promote FHSS internally and externally in line with the faulty development strategic plan.
Qualifications Essential • Master ’ s Degree • Fluency in Mandarin and English • Strong planning and organisational skills and experience of project management, including working to tight deadlines • Proven IT skills, including using MS Office applications and database systems • Excellent communication skills and ability to build effective relationships with colleagues at all levels • A strong team player who works collaboratively in a multicultural environment • Experience of working in a large complex, devolved organisation • Proven track record of successful project management • Experience of managing a diverse workload and relationships • Ability to work independently and proactively within a team • A high level of self-motivation and ability to motivate others • Ability to work under pressure and prioritise multiple tasks • Ability to work at weekends or during holidays occasionally if requested Desirable • Overseas study experience • Knowledge of university regulations and systems • Knowledge of academic culture • Experience of working in an international setting and/or education organization
Main Duties and Responsibilities:
Team Management (20%): • To oversees team members ’ work and provide support and training in T&L as appropriate. • To monitor and support team members ’ development and maximize team members contribution to the team. • To ensure work of the team is carried out with accuracy and quality by following the standard policy and regulation. • To listen to team members and give advices to them through daily work, and to have weekly/monthly/quarterly meetings in order to communicate and feedback to team members timely. • To do PDR of team members based on their daily performance with fairness. • To co-manage members in other teams when required and provide guidance in the absence of their leader
Policy and Regulation Support (20%): • To review and develop T&L policies and procedures to improve the satisfaction of students and academic staffs. • To review daily administrative process to identify service priorities and requirements for further improvement. • To provide professional knowledge and, skills and suggestions in relation to T&L area to deliver high quality services. • To support and implement on-going development of Project Transform.
Planning Support (20%): • To support Faculty Director of Teaching to develop and deliver Faculty T&L related strategic plan in order to meet the objective of FO develop aims as well as in line with the University 2020 development strategic plan. • To make plans for the team in advance based on the University schedule in T&L areas and make sure key dates are well informed to relevant colleagues and trace them to meet at the end. • To work flexibly and be able to prioritise tasks in peak periods and also be able to adapt with changing demand.
Academic/Assessment Process Support (15%): • To coordinate with schools and ASO to conduct administration procedure in related to curriculum development, programme/module specification, assessment and other administrative support, and make sure all the information is accurate and updated. • To liaise with UNUK home schools to process assessment moderation, mark processing, exam conducting, and exam board meetings. • To be responsible for Qualification data tracing for progression and scholarships. • To liaise with HoDs and other senior staff to deal with academic misconduct cases. • To coordinate with ASO to appropriately process students ’ queries in related to appeals/complaints against exam results, progression, degree awards, etc. • To support school exam officers and Exchange coordinators ’ work. • To communicate and support with schools to finalise the course structure, prepare the module entry documents to help students complete the module enrolment for degree study and maintain precise data entry in Saturn with timely updates due to any possible changes.
Student Support (15%): • To response students ’ inquiry effectively in a professional manner. • To coordinate with schools to collect staff and module information for SET/SEM Survey online and make sure the feedbacks are in time. • To fulfil the whole coursework administration process and follow 15 working days turnaround requirement. • To coordinate with seminar groups for students and make sure any changes to students ’ study status such as registration and module enrolment are updated with timely manner. • To coordinate with students ’ requests in course transfer, absence, EC, suspension, withdrawal and etc. • To support students ’ activities such as induction to exchange in students, summer school and internship.
Other administrative support (10%): • To work closely with other two lines within the Faculty and support their works in HR, Finance, Marketing, events and other external engagement activities. • To proactively liaise with other offices/ unites to collect, collate and circulate relevant information as appropriate to ensure administrative deadlines are met. • To participate in training and staff development schemes as trainer or trainee as appropriate. • To maintain appropriate professional development, expertise and awareness. • To undertake other tasks and responsibilities as may reasonably be required.
